This Universal Grievance Redressal Policy establishes a fair, impartial, transparent, confidential, and efficient mechanism for receiving, reviewing, investigating, and resolving grievances in accordance with applicable laws, principles of natural justice, and internationally recognized nonprofit governance practices.
By accessing any official platform or participating in any activity conducted by Just Help Me Foundation, every user acknowledges that they have read, understood, and agreed to this Universal Grievance Redressal Policy.
Scope of this Policy
This Universal Grievance Redressal Policy applies to every grievance, complaint, concern, appeal, objection, representation, feedback, whistleblower disclosure, compliance report, misconduct allegation, service complaint, payment-related issue, membership dispute, employment complaint, volunteer concern, partnership dispute, award-related complaint, or any other matter submitted to Just Help Me Foundation through its officially authorized communication channels.
This Policy applies to all official digital properties owned, operated, managed, licensed, or authorized by Just Help Me Foundation, including but not limited to:
Without limitation, this Policy currently applies to the following official domains:
This Universal Grievance Redressal Policy shall automatically apply to every future website, domain, subdomain, mobile application, cloud platform, payment portal, software application, API, online service, or digital property officially owned, operated, managed, licensed, or authorized by Just Help Me Foundation without requiring a separate policy.
Purpose of the Policy
The primary purpose of this Policy is to ensure that every grievance received by the Foundation is handled promptly, fairly, impartially, confidentially, and professionally. The Foundation aims to resolve legitimate grievances through an efficient process that promotes accountability, strengthens public trust, protects stakeholder rights, improves service quality, and supports continuous organizational improvement.
The Foundation further seeks to encourage constructive feedback, identify systemic issues, prevent recurring problems, promote ethical conduct, strengthen governance mechanisms, and maintain a culture of transparency and mutual respect across all organizational activities.
Who May Submit a Grievance
A grievance may be submitted by any individual or organization that has interacted with Just Help Me Foundation, including but not limited to members, donors, volunteers, beneficiaries, employees, job applicants, award applicants, NGOs, CSR partners, vendors, consultants, educational institutions, government authorities, corporate partners, contractors, service providers, website visitors, mobile application users, digital platform users, event participants, training participants, or any other stakeholder who believes that they have been adversely affected by any action, omission, decision, service, or conduct relating to the Foundation.
A grievance may also be submitted by an authorized representative acting on behalf of another individual where legally permitted or where appropriate authorization has been provided.
Matters Covered Under this Policy
This Policy applies to grievances relating to, but not limited to:
Guiding Principles
Every grievance shall be managed in accordance with the principles of fairness, impartiality, confidentiality, transparency, accountability, procedural fairness, respect for natural justice, non-retaliation, equal treatment, timely resolution, and legal compliance.
The Foundation shall make reasonable efforts to ensure that every grievance is acknowledged, assessed, investigated where appropriate, and resolved objectively based upon available evidence, organizational policies, applicable laws, and the circumstances of the individual case.
Submission of Grievances
Any individual or organization covered under this Policy may submit a grievance through the official communication channels established by Just Help Me Foundation. Grievances may be submitted electronically through official websites, online grievance forms, registered email addresses, authorized mobile applications, digital support systems, or in writing through officially designated offices. The Foundation may also establish dedicated grievance portals, online ticketing systems, helpdesks, customer support services, or other communication mechanisms to facilitate the submission and management of complaints.
Every grievance should be submitted in good faith and should contain sufficient factual information to enable the Foundation to understand the nature of the complaint and conduct an appropriate review. Anonymous grievances may be considered where the information provided is sufficiently credible and where investigation is considered necessary in the public interest or for the protection of the Foundation.
Information Required for Submission
To facilitate an efficient review process, individuals submitting grievances should provide accurate and complete information to the extent reasonably available. Such information may include the complainant’s name, contact details, membership or registration number where applicable, details of the relevant transaction or activity, dates, supporting documents, photographs, payment references, communication records, names of persons involved where known, and a clear description of the grievance together with the relief or resolution requested.
Failure to provide complete information shall not automatically result in rejection of a grievance. However, the Foundation reserves the right to request additional information or supporting documentation where necessary for a fair and proper assessment.
Acknowledgement of Complaints
Upon receipt of a grievance through an authorized communication channel, the Foundation may issue an acknowledgement confirming that the complaint has been received. The acknowledgement may include a reference number, tracking identification, complaint registration number, ticket number, or any other appropriate reference to facilitate future communication regarding the matter.
The issuance of an acknowledgement shall not constitute acceptance of the allegations contained in the grievance, nor shall it imply that the complaint has been determined to be valid or justified. Every grievance shall remain subject to preliminary review and further assessment.
Preliminary Review
Following receipt of a grievance, the Foundation may conduct a preliminary review to determine whether the complaint falls within the scope of this Policy, whether sufficient information has been provided, whether immediate action is required, whether additional documentation should be requested, and whether the matter should proceed to formal investigation or be referred to another appropriate process.
Where a grievance relates to matters outside the jurisdiction or operational responsibility of the Foundation, the complainant may be informed accordingly or, where appropriate and legally permissible, advised to approach the relevant authority or organization.
Investigation Process
Where considered appropriate, the Foundation may initiate a fair, impartial, and confidential investigation into the grievance. Investigations may involve examination of relevant documents, interviews with concerned individuals, review of digital records, transaction verification, consultation with subject matter experts, technical assessments, legal review, financial reconciliation, or any other investigative measure reasonably necessary to establish the relevant facts.
The Foundation shall make reasonable efforts to conduct investigations objectively, without bias, and in accordance with applicable laws, organizational policies, principles of natural justice, and procedural fairness.
Confidentiality
Just Help Me Foundation recognizes the importance of protecting the confidentiality of grievance proceedings. Information relating to complaints, investigations, supporting evidence, witness statements, internal deliberations, and investigation outcomes shall be handled with appropriate confidentiality and disclosed only to individuals who have a legitimate organizational, legal, regulatory, or investigative need to know such information.
Confidentiality may be limited where disclosure is required by applicable law, judicial order, regulatory authority, law enforcement agency, or where disclosure is necessary to protect the rights, safety, or legitimate interests of the Foundation or other affected persons.
Protection Against Retaliation
Just Help Me Foundation is committed to ensuring that individuals who submit grievances, provide information during investigations, participate as witnesses, or otherwise cooperate with grievance proceedings in good faith are protected from retaliation, intimidation, harassment, discrimination, victimization, or other adverse treatment.
Any person found to have engaged in retaliation against a complainant, witness, investigator, or participant in the grievance process may be subject to disciplinary action, suspension, termination of membership or employment, contractual consequences, or legal action as appropriate.
False, Frivolous, or Malicious Complaints
The Foundation encourages genuine complaints made honestly and in good faith. However, grievances that are knowingly false, fabricated, malicious, frivolous, abusive, defamatory, intended to harass another person, or submitted for improper personal, political, commercial, or unlawful purposes shall not be protected under this Policy.
Where the Foundation reasonably determines that a complaint has been intentionally fabricated or submitted in bad faith, appropriate corrective action may be taken, including dismissal of the complaint, suspension of organizational privileges, disciplinary proceedings, recovery of damages where legally permissible, or referral to competent authorities where required by law.
Resolution of Grievances
Following completion of the review or investigation, the Foundation may determine an appropriate resolution based upon the facts established, applicable laws, organizational policies, available evidence, contractual obligations, and principles of fairness and proportionality.
Possible outcomes may include clarification of organizational decisions, corrective administrative action, policy recommendations, mediation, training, disciplinary measures, reimbursement where legally justified, implementation of operational improvements, referral to another competent authority, dismissal of unsubstantiated allegations, or any other lawful corrective measure considered appropriate under the circumstances.
Appeals
Where a complainant is dissatisfied with the outcome of a grievance, they may submit a written appeal through the Foundation’s officially designated appeal mechanism within the period prescribed by the Foundation or applicable law. Appeals should clearly identify the grounds for review and include any additional information or evidence not previously considered.
The Foundation may review the appeal through an appropriate authority or committee. The decision reached following the appeal process shall ordinarily be considered final within the Foundation’s internal grievance system, without prejudice to any legal rights available under applicable law.
Record Management
The Foundation shall maintain appropriate records relating to grievances, investigations, correspondence, evidence, decisions, appeals, corrective actions, and related documentation for such period as may be required by applicable law, organizational governance standards, regulatory requirements, audit purposes, or legitimate administrative needs.
Records shall be maintained securely and access shall be restricted to authorized personnel. At the conclusion of the applicable retention period, records may be archived, anonymized, or securely destroyed in accordance with the Foundation’s document retention procedures and applicable legal requirements.
Compliance Obligations
Every person participating in the grievance redressal process, including complainants, respondents, witnesses, investigators, members, employees, volunteers, consultants, contractors, partner organizations, and authorized representatives of Just Help Me Foundation, shall comply with all applicable laws, organizational policies, ethical standards, confidentiality obligations, and procedural requirements governing the grievance process.
The Foundation reserves the right to require the production of relevant documents, records, communications, financial information, digital evidence, identification documents, declarations, or other materials reasonably necessary for the fair and lawful resolution of any grievance. Failure to cooperate with a legitimate investigation may affect the Foundation’s ability to resolve the matter and may result in appropriate administrative or disciplinary action where justified.
Responsibilities of Complainants
Every complainant is expected to submit grievances honestly, accurately, respectfully, and in good faith. Complaints should be based upon genuine concerns and supported, where reasonably possible, by factual information, relevant documentation, or other available evidence.
Complainants shall cooperate fully throughout the grievance process, provide truthful information, respond to reasonable requests for clarification, and avoid knowingly submitting false statements, fabricated evidence, forged documents, misleading allegations, defamatory content, or malicious complaints. Misuse of the grievance process for personal disputes unrelated to the Foundation, commercial competition, political purposes, harassment, intimidation, or retaliation shall constitute a violation of this Policy.
Responsibilities of Respondents
Individuals against whom a grievance has been submitted shall be treated fairly and impartially throughout the review and investigation process. Respondents shall be provided with a reasonable opportunity to present their explanation, submit supporting evidence, identify relevant witnesses where appropriate, and respond to allegations before any final decision is made, except where immediate interim action is required for legal, security, or safeguarding reasons.
Respondents are expected to cooperate fully with authorized investigators, preserve relevant records, avoid influencing witnesses, refrain from destroying evidence, and comply with all lawful instructions issued during the grievance process.
Organizational Authority
Just Help Me Foundation reserves the exclusive authority to determine the appropriate procedure for handling grievances submitted under this Policy. The Foundation may assign complaints to designated officers, grievance committees, ethics committees, disciplinary authorities, legal advisors, external experts, or independent investigators where considered appropriate.
The Foundation further reserves the right to consolidate related complaints, separate unrelated issues, decline matters outside its jurisdiction, suspend proceedings pending legal action, reopen investigations where significant new evidence becomes available, or take any other procedural action necessary to ensure fairness, efficiency, legal compliance, and organizational integrity.
Alternative Dispute Resolution
Where appropriate and with the agreement of the parties involved, the Foundation may encourage resolution of disputes through mediation, facilitated dialogue, conciliation, or other appropriate alternative dispute resolution mechanisms before initiating formal disciplinary or legal proceedings.
Participation in alternative dispute resolution shall be voluntary unless otherwise required by applicable law or by a contractual agreement. Any settlement reached through such processes shall not prejudice the legal rights of the parties unless expressly agreed in writing.
Limitation of Liability
To the fullest extent permitted by applicable law, Just Help Me Foundation, its founders, trustees, directors, governing body members, office bearers, employees, volunteers, consultants, advisors, affiliates, representatives, contractors, investigators, committee members, technology partners, and authorized agents shall not be liable for any indirect, incidental, consequential, special, punitive, reputational, or financial loss arising from the submission, investigation, review, resolution, rejection, or outcome of any grievance, except where liability cannot legally be excluded.
The Foundation shall not be responsible for delays caused by incomplete information provided by the complainant, failure of parties to cooperate, third-party actions, technical failures, legal proceedings, governmental requirements, or other circumstances beyond its reasonable control.
Force Majeure
Just Help Me Foundation shall not be responsible for any delay, suspension, interruption, or inability to process or resolve grievances where such circumstances arise due to events beyond its reasonable control. Such events include, but are not limited to, natural disasters, floods, earthquakes, fires, pandemics, epidemics, cyberattacks, internet failures, telecommunications disruptions, power outages, governmental restrictions, judicial orders, civil unrest, armed conflict, terrorism, labor disputes, banking failures, cloud service interruptions, or any other extraordinary event affecting organizational operations.
During the occurrence of such circumstances, grievance handling timelines may be reasonably extended without creating liability on the part of the Foundation.
Protection of Organizational Integrity
The grievance mechanism established under this Policy is intended to strengthen transparency, accountability, ethical conduct, and public confidence in the Foundation. It shall not be used as a means to intimidate, defame, harass, obstruct organizational activities, damage the Foundation’s reputation, interfere with lawful operations, or pursue personal, political, commercial, or malicious objectives.
The Foundation reserves the right to take appropriate legal, disciplinary, or administrative action against any individual or organization found to have deliberately abused the grievance process or acted in bad faith.
Continuous Improvement
Just Help Me Foundation is committed to continuously improving its grievance management system through periodic policy reviews, staff training, technological enhancements, stakeholder feedback, governance reforms, monitoring, internal audits, and implementation of best practices in nonprofit governance and dispute resolution.
Information derived from grievance trends may be used, in anonymized or aggregated form where appropriate, to improve organizational policies, strengthen operational procedures, enhance service delivery, reduce recurring issues, and promote a culture of accountability and continuous improvement.

Dispute Resolution
Any dispute arising out of or relating to the interpretation, implementation, administration, or application of this Universal Grievance Redressal Policy shall first be addressed through the Foundation’s internal grievance and review mechanisms in accordance with the principles of fairness, transparency, procedural justice, and good faith.
Where a matter cannot reasonably be resolved through internal procedures, either party may seek resolution before the competent court, tribunal, arbitration authority, mediator, or any other legally authorized dispute resolution forum having jurisdiction under applicable law. Nothing contained in this Policy shall prevent either party from seeking interim relief, injunctive orders, or any other legal remedy available under applicable law.
Severability
If any provision, clause, paragraph, sentence, or part of this Universal Grievance Redressal Policy is declared invalid, unlawful, void, or unenforceable by any court of competent jurisdiction or other legally authorized authority, such determination shall not affect the legality, validity, or enforceability of the remaining provisions.
The remaining provisions shall continue in full force and effect to the maximum extent permitted by applicable law, and the invalid provision shall, wherever reasonably possible, be interpreted in a manner that most closely reflects the original intent of the Foundation while remaining legally enforceable.
